CLARIN2016 Presenter guidelines

This guide is meant to help you to prepare for the conference and your presentation. Guidelines for the following three presentation formats are included:

  1. Oral presentations
  2. Posters and demos
  3. CLARIN Bazaar stalls

Please note that, with the exception of the presentation desk in the room for plenary sessions, the number of power sockets in the conference rooms is limited, and in some rooms they are not present at all. Although extra power strips will be arranged and there is a recharge room available, we advise you to charge any devices at your hotel before coming to the conference venue.

1. Oral presentations

Each oral presentation is allocated a 25-minute time slot (see the programme) of which 15 minutes will be reserved for the presentation itself and 10 minutes for discussion.

Send your presentations to the conference organizers

We aim at using only one presentation machine in order to avoid the usual problems with switching computers, so it is crucial that you send the PDF and/or PPT(X) of your presentation to clarin [at] clarin.eu (clarin[at]clarin[dot]eu) no later than Tuesday, 25 October 2016. As a fallback, please also bring your USB-stick with the presentation on it.

Available equipment:

  • Windows computer with Office and PDF reader and Mac computer with Office and Keynote
  • Video projector (4200 lumens)
  • Lectern
  • Microphone
  • Connection of computer audio out (3.5mm) to the loudspeaker system
  • Power socket
  • Wi-Fi Internet connection

Declaration of consent for video and audio recordings

CLARIN seeks for ways to stimulate the exchange of knowledge. Therefore, all presentations of the CLARIN Annual Conference 2016 will be recorded with the aim is to make the (edited) recordings available on the CLARIN website. As attendant of the CLARIN Annual Conference 2016 to be held on 26-28 October 2016 in Aix-en-Provence, you are kindly requested to give us permission to use the recording material for the aforementioned purposes. You can do so by filling out the consent form.

 

2. Posters and demos

The CLARIN2016 organization has allocated presenters of posters and/or demos a time slot (see the programme)

Presenters are requested to set up their poster and/or demo during the Coffee break (16.00-16.30) on Thursday and during the Lunch break (12.30-14.00) on Friday.

We will provide a poster wall and a table for presenting demos.

Available equipment:

  • Poster wall for A0 (84 cm x 118 cm) portrait and landscape format posters
  • Table for laptop or other material
  • Wi-Fi Internet connection

Please bring your own demonstration computer.

 

3. CLARIN Bazaar

If you have signed up for a stall at the CLARIN Bazaar, you are welcome to present your work in progress, ideas, visions and demonstrations at the dedicated time slot on Thursday 15.10-16.00  (see the programme).

You can set up your stall from Lunchtime onwards.

  • Poster wall for A0 (84 cm x 118 cm) portrait and landscape format posters
  • Table for laptop or other material
  • Wi-Fi Internet connection
     

Please bring your own demonstration computer.
