CLARIN2015 Presenter guidelines

The following guidelines should help you to prepare for the conference and your presentation. During the main conference we have two different forms of presentations:

Each will be discussed below.

 

Oral presentations

Each oral presentation is allocated a 25-minute time slot (see the final programme) of which 15 minutes will be reserved for the presentation itself and 10 minutes for discussion.

Presenters are expected to send their presentations in PDF and/or PPT(X) to the conference organisers (clarin [at] clarin.eu (clarin[at]clarin[dot]eu)) before the conference. The presentations will be put online after the conference. They will also be filmed; please indicate your permission to make the recordings available, too.

Available equipment:

  • Windows laptop with Office and PDF reader
  • Beamer ( resolution 1024 x 768)
  • Lectern
  • Microphone
  • Connection of computer audio out (3.5mm) to the loudspeaker system
  • Wi-Fi Internet connection: In each conference room the hotel provides wireless Wi-Fi. It is not possible to use network cables. The hotel IT department is informed that during these sessions we will require a reliable and fast connection.

We aim at using only the ONE presentation machine in order to avoid the usual problems with switching the computers, so it is essential that we receive the PDF and/or PPT(X) on Tuesday Oct. 13. PDF is preferred, at least in addition to PPT(X).

Please send the PDF and/or PPT(X) to clarin [at] clarin.eu (clarin[at]clarin[dot]eu).

However, as a fall-back in case of technical problems, please also bring your computer with the presentation on it.

 

Posters and demos

The CLARIN2015 organisation has allocated presenters of posters and/or demos a time slot (see the final programme).

We will provide a flip chart for the poster.

Tables and power outlets will be provided to demo presenters who will need to bring their own computers. The conference venue can only provide 1 small screen and 3 beamers for presenting demos. The organizers will allocate these to those interested on a first come first serve basis.

Presenters are requested to set up their poster and/or demo during the coffee break (16.00-16.30) on Friday and during the Lunch break (12.25-13.50) on Saturday. The poster and demo sessions will be held in the Foyer New York Berlin+Brussel+Paris room.

Available equipment:

  • Poster flipchart wall (for A0 portrait format posters) with clip-on hooks to attach a poster (if required)
  • Table for laptop or other material
  • 1 Small screen and 1 beamer ( resolution 1024 x 768) in the Foyer New York (first come, first serve basis)
  • 2 beamers ( resolution 1024 x 768) in Berlin+Brussel+Paris (first come, first serve basis)
  • Power
  • Wi-Fi Internet connection: In each conference room the hotel provides wireless Wi-Fi. They do not use network cables. The hotel IT department is informed that during these sessions we will require a good solid connection.

Please bring your own poster and/or demonstration computer.

 

CLARIN Bazaar

The CLARIN bazaar will be held in the Foyer New York. If you have signed up for a stall at the bazaar the following equipment is available for presenting work in progress, ideas and visions and demonstrations:

  • Poster flipchart wall (for A0 format posters) with clip-on hooks to attach your poster
  • Table for laptop or other material
  • 1 small screen and 1 beamer ( resolution 1024 x 768) in the Foyer New York (first come, first serve basis)
  • Power
  • Wi-Fi Internet connection: In each conference room the hotel provides wireless Wi-Fi. They do not use network cables. The hotel IT department is informed that during these sessions we will require a good solid connection.
