Event description
At March 17/18/19. the CLARIN Kick-Off meeting will take place to start our pan-European research infrastructure work. We want to achieve a number of goals at these three days:
- We need a broad and deep understanding of the goals of CLARIN by everyone involved. Yet we cannot assume that the knowledge is already sufficiently spread.
- We need to start the interaction with everyone involved and interested and to take up the comments and ideas from all the experts.
- We need to spread the relevant messages about the different layers of the work that is involved when setting up a research infrastructure in particular since it involves aspects that were not yet topic of the general discussions in our field.
- We need to create a positive atmosphere and an enthusiasm which will be important to meet our challenging goals.
- We need to start the actual work in the working groups and invite all experts to participate.
- Of course those who are partners in the EC funded project need to understand the rules of the game. In particular the double funding scheme - national and EC funding - needs careful attention from all of us. Other members need to be informed about the national groups.

Schedule
The meeting will stretch over three days with the following rough schedule:
Day 1 (17.3)
The first day is devoted to give detailed information about all CLARIN aspects to everyone involved and interested so that we can assume a broad understanding of the goals. It is also meant to discuss all topics and get comments and recommendations from all CLARIN members. The work package leaders will present the plans.
Therefore, this meeting is open to all CLARIN members independent of whether they are consortium partners of the EC funded project or whether they are members of national CLARIN groups.
Day 2 (18.3)
The second day will be devoted to start a number of working groups from the beginning. It is the tasks of the work package leaders to prepare the meetings and to lead the discussions. The working groups are open for all experts. Those who have to fulfill a certain task as consortium partner will be contacted by the work package leaders.
Those experts who are delegates from national CLARIN groups or members should send an email to the WP leader early enough to inform him/her about the interest. It is the WP leader who needs to take a final decision, since the size of the WG needs to be manageable. More information will come soon on the web-site.
Day 3 (19.3)
The third day is devoted to matters of the EC-funded project. First the goals to be achieved in terms of milestones and deliverables will be discussed. Based on the Working group discussions refined plannings will be discussed also in terms of their feasibility. Second all formal and administrative aspects such as consortium agreement, funding, travel possibilities, report writing, deliverable deadlines etc. will be discussed. Also the purpose of the various CLARIN boards will be discussed. These discussions are restricted to delegates of the consortium.
For members of the national groups who would like to stay at the third day there is the possibility to meet and discuss the work at the national level in parallel groups.
The purpose is to have as intensive discussions as possible at all moments.

Hotel
- We recommend the Georgia Hotel Kleve (in Germany, near to the Nijmegen). Special conditions apply (€ 75 / night) when a room is booked before February 22.
- The reservation can be made through the registration form.
- A free bus for the transport Nijmegen - Kleve (25 km) will be available.
Dinner
- Joint dinners are planned (price not yet known).
- Please indicate on the registration form if you want to participate.

Update
Dear kick-off meeting participant,
It turns out that more participants than expected are traveling from Schiphol to Kleve on Sunday. Unfortunately the bus from Nijmegen station to Kleve does not go very often on Sunday. (12:12, 14:12; 16:12 and 18:12)
This makes it quiet complicated to reach Kleve that day. We can recommend two taxi services:
- Taxi Garbisch from Kleve +49-2821-25011 (35 - 40 Euro)
- Taxi Waalstad (+31-61444 33 11)(45 Euro)
Besides that we will try to organize our own shuttle service.
Please, let us know as soon as possible what time you will arrive in Nijmegen on Sunday (evelyn@mpi.nl) and we will try to help.
For participants from Holland we will arrange transport from Kleve back to Nijmegen after diner on the 17th. Please, let Dieter van Uytvanck (dieter.vanuytvanck@mpi.nl) know that you want to join the bus/car to Nijmegen.
